Inbound Lead Specialist
We are seeking a motivated Inbound Lead Specialist to serve as the first point of contact for inbound leads from digital channels, ensure timely and accurate lead assignment to sales representatives, and support ongoing website and content maintenance for our training and certification programs.
This role acts as a vital bridge between marketing, sales, and operations; helping convert digital interest into qualified sales conversations, while maintaining up-to-date online information, so potential clients always see accurate offerings.
Job responsibilities:
Inbound Lead Management & Qualification
- Monitor and manage inbound leads from all digital channels
- Qualify and triage leads
- Log and maintain inbound lead data in CRM or tracking systems
Lead Assignment & Coordination
- Assigning qualified inbound leads to the appropriate sales reps
- Maintain clear communication with sales reps to ensure load balance, avoid duplication, and track follow-up responsibilities
- Provide follow-up support as needed to ensure leads are acted
Event-Based & Outreach Lead Handling
- Reach out to event leads post-event (or pre-event as needed) to promote further training programs, certifications, or other relevant offerings.
- Maintain a lead nurture process: send follow-up communications, share program information, and coordinate with marketing/sales to convert interest into enrolments.
Website & Content Maintenance
- Regularly review and update the company website when new training programs or certifications are launched
- Work with principals/vendors to update program offerings
- Collaborate with marketing or content teams (if any) to ensure consistency of branding, tone, and messaging across digital channels
Cross-Functional Collaboration & Reporting
- Coordinate closely with Sales team and Product Owners to ensure smooth lead flow, updates, and conversions.
- Provide regular reporting (e.g., weekly / monthly) on inbound lead volumes, lead assignment status, conversion progress, and website content updates.
- Identify patterns and potential improvements e.g., common enquiries, missing website information, bottlenecks in lead assignment and propose optimizations.
Customer / Lead Engagement & Service
- Act as a friendly, prompt, and professional first point of contact for prospective students/clients across digital channels.
- Respond to basic enquiries, provide accurate information about courses/certifications, and guide leads to next steps
Ad-hoc Marketing & Administrative Support
- Assist the marketing team with other digital-marketing support tasks as needed (e.g., updating social media, supporting campaign outreach for new programs, helping with email outreach to event registrants).
- Maintain lead databases, documentation, and internal processes to ensure scalability and consistency as lead volume grows.
Key Qualifications & Skills
Must-haves
- Bachelor’s degree in Marketing, Business, Communications or related field (or equivalent working experience).
- Min 1–2 years’ experience ideally in lead coordination, sales support, marketing operations, or customer/client servicing.
- Strong organizational skills and ability to manage multiple tasks and digital channels concurrently.
- Excellent written and verbal communication skills in English (and ideally Bahasa Malaysia).
- Familiarity with CRM/lead-management tools and basic data entry/tracking processes (or willingness to learn quickly).
- Comfort with using and updating website content (CMS) or willingness to learn basic content/site-management.
- Proactive, detail-oriented, and able to work with minimal supervision while also collaborating across teams.
Preferred/Advantageous
- Experience (or interest) in digital customer-service: live chat platforms, social-media messaging, email handling.
- Basic understanding of digital marketing concepts, lead-nurturing, or inbound-marketing approaches.
- Basic data analysis or reporting capability to help summarize lead volumes, source performance, and conversions.
- Comfortable liaising with external vendors for information collection and updates.

Job responsibilities:
Social Media Marketing
- Build and manage the company’s social media profiles and presence, including Facebook, Instagram, LinkedIn, YouTube and additional channels that may be deemed relevant
- Monitor and engage in relevant social discussions about our company, competitors, and/or industry, both from existing leads and customers as well as from brand new audiences.
Content Marketing
- Write various types of articles on our blog on various topics
- Optimizing content/resources (E-books, whitepapers, infographics, guides etc for search engines and lead generation
- Collaborate with designers, product marketers, sales professionals, and external influencers, and industry experts to produce relevant content that meets the needs of both key stakeholders and our audience.
Email Marketing
- Manage various email campaigns, including the template designs, calls-to-action, and content used in our email sends.
- Segment lists based on behaviors like past email engagement and website interactions (content downloads, site page visits, etc.).
- Measure results and optimize the lead nurturing workflows for these segments to convert leads into customers.
Paid Marketing
- Manage the strategy and setup of all paid campaigns.
- Measure and optimize our paid marketing using vendor-specific dashboards, Google Analytics, and marketing analytics reports.
- Collaborate with marketing teammates to maintain a consistent brand voice and message across all paid programs.
- Craft landing pages and lead generation forms for our content to distribute through relevant paid programs
Search Engine Optimization (SEO)
- Perform on-page optimization on Trainocate’s website
- Monitor and improve technical SEO
- Build and manage off-page SEO initiatives
- Provide regular SEO performance reports
Requirements:
- Min 1-2 year working digital marketing experience
- Working knowledge of customer relationship management (CRM) and content management system (CMS) platforms
- Working knowledge of web analytical tools (Google Analytics/GA4/Google Search Console etc)
- Working knowledge of email marketing platforms (MailChimp, Zoho etc)
- Working knowledge of paid media platforms (Google Ads, LinkedIn Ads, Meta Ads etc)
- Working knowledge of SEO apps (Ahrefs, SEMrush. Moz etc)
- Active and well-rounded personal presence in social media, with a command of each network and their best practices
- Excellent communicator and creative thinker, with an ability to use both data and intuition to inform decisions
- Impressive writing and editing skills, as well as the ability to adopt the style, tone, and voice of our business’ various types of content
- An analytical mind and interest in using data to optimize/scale blog marketing strategies and tactics

Sales Support
We are looking for an organized, efficient sales support specialist to be responsible for administrative duties and assisting the sales department in gaining and keeping customers. The sales support specialist’s responsibilities include tracking sales leads, coordinating quotes with sales packs, providing customer service, and managing customer accounts. The sales support specialist is also responsible for monitoring sales and the performance of the sales team as well as recording sales data.
To be a successful sales support specialist, you should have good time management and organizational skills. You should also demonstrate excellent interpersonal, communication, and customer service skills.
Job Duties:
- Generates and processes new sales leads as necessary
- Compiling weekly lists of leads and delegating them to account managers
- Explore and research on new funding in Malaysia
- Responsible for tender request in the e-perolehan portal & other government agencies’ tender
- Does any necessary administrative work including filing reports or presenting the sales team with necessary documents
- Providing assistance to sales team as needed (quotation, follow-up, event/workshop & etc)
- Help troubleshoot problems with customer orders, customer accounts, and other related issues
- Monitor sales performance through sales tracking tools and report progress to account managers
